The lifecycle

One account, one lifetime, many matters.

Day one01/06

A place for the things that prove who you are

Carlos creates an account and scans a driver licence and a birth certificate. No lawyer, no case — just somewhere safe that is genuinely his.

A citation becomes a matter in ninety seconds

He photographs a traffic ticket in the courthouse car park. CourtDocs reads it, proposes a matter, and asks whether to add the hearing.

Signing the retainer opens the workspace

Smith Law Group sends an agreement. Carlos signs. The lead becomes a client and a shared case workspace materialises for both sides.

The case closes. The briefcase does not.

The firm access to the matter ends. Documents, history and calendar stay in his account — ready for whatever happens years from now.

From the parking lot

You get a ticket. Ninety seconds later the case is already organised.

This is the moment CourtDocs is built for. A photograph on the courthouse steps becomes a matter, a calendar entry and a reminder chain — before you have driven home.

Reminders fire at 30, 14, 7 and 3 days, then 24 and 3 hours before the hearing.

Privacy by design

Your birth certificate does not become firm property the moment you hire a lawyer.

Every document carries its own access level. An attorney has to ask, you decide whether to grant the whole folder or only specific files, and you can revoke it later. Every view is written to an audit trail you can read.

Nothing is shared by default

Documents start Private. Uploading to CourtDocs shares them with nobody.

Firms are separate tenants

Firm A has no technical path to Firm B clients, files or matters.

Even CourtDocs staff must ask

Administrators cannot open a restricted document without elevated authorisation, and doing so writes an audit record.

Access request

Smith Law Group is requesting access to your Medical Records folder.

Security architecture

Built for identity documents, medical records and privileged communications.

CourtDocs holds the material people are least willing to lose. Security is the first requirement, ahead of speed of development.

Read the security overview

Encryption everywhere

TLS in transit, AES-256 at rest, encrypted backups, and extra field-level encryption for identity numbers and medical identifiers.

MFA and passkeys

Required for attorneys and platform administrators, strongly encouraged for everyone. Biometric unlock on mobile, plus device and session management.

Permanent audit trail

Uploaded, opened, downloaded, shared, signed, deleted. Each entry records actor, action, resource, timestamp, device and result.

Tenant isolation

Every law-firm resource is bound to a tenant. Queries enforce separation, so one firm can never reach another firm’s clients or files.

Quarantine and scanning

Uploads land in quarantine and are malware-scanned before they become available. OCR and thumbnails run in background workers.

Soft delete and retention

Deleting moves a document to Deleted Items for a retention window before permanent destruction. Legal holds override deletion.

From both sides

The same platform, judged by people with opposite incentives.

I had the police report, the ER discharge and the insurance letter in the app before I ever spoke to a lawyer. The first consultation was about strategy instead of paperwork.

The matters arrive with a county, a practice area and an incident date already attached. My intake specialist stopped spending her morning on calls that were never ours to take.

Being able to show a client exactly who opened a document and when has ended a whole category of difficult conversation.
